Bachoco USA is seeking an Legal Administrative Assistant for our Fort Smith, AR location.

 

Summary: Performs secretarial and administrative duties for all functions in the  legal department: risk, legal, and environmental. Schedules appointments and conference calls and coordinates arrangements for conferences, court appearances, depositions, meetings and travel. Organizes and expedites flow of work through law office. Follows up with other embers of the firm and support staff in order to save attorney’s time. Composes correspondence and drafts legal documents. Establishes and maintains highly confidential files and records. Thorough knowledge of the area of law practiced by attorney, and, if applicable law firm. Broad knowledge of filing dates, various court systems, and their local rules.

 

 

Essential Duties and Responsibilities include the following. Other duties may be assigned

  • Assists risk, legal, and environmental department in administrative tasks.
  • Prepares legal documents.
  • Files and maintains legal documents.
  • Compile, proofread and revise drafts of legal documents and reports.
  • Daily record keeping with electronic and hard copy filing of documents.
  • Obtain relevant information from other organizations or agencies.
  • Create and organize information, and generate reference tools for easy use by the office.
  • Prepare and format legal and management reports.
  • Maintain and update databases and tracking systems.
  • Respond to all case-related queries.
  • Ensure efficient and effective administrative information and assistance.
  • Assist in garnishments documents.

 

Preferred Skills: Excellent organizational skills and acute attention to detail. Familiar with legal practices and willing to adapt and learn. Able to multi-task and perform on deadline. Works well under fast-paced pressure while maintaining upbeat and positive outlook. 

 

Supervisory Responsibilities: This job has no supervisory responsibilities.

Education and/or Experience: High school diploma or general education degree (GED); or one year related experience and/or training; or equivalent combination of education and experience.

 

Language Skills:  Able to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Able to write routine reports and correspondence.  Able to speak effectively before groups of customers or employees of organization.

 

Interpersonal Skills: Can work across departments to facilitate legal risk management. Able to navigate difficult personnel issues in a professional and courtesy manner. 

 

Reasoning Ability: Able to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Able to deal with problems involving several concrete variables in standardized situations.

 

Computer Skills: Knowledge of legal customs and practice, including risk management software. Experience and comfort with Microsoft Office Suite, including Excel, Word, and Power Point.
